In the process of sourcing venues for your meetings a lot of problems arise. Meeting Evolution is able to solve a large majority of common problems by leveraging the Customer Relationship Management (CRM), Sourcing/Procurement, Contract Workflow Management and supplier evaluations modules.

Below are four common issues that meeting planners face regularly and provide examples of how Meeting Evolution solves those problems.

1. Previous RFP Responses - When you are waiting for suppliers to respond back to your RFP with availability, it would be beneficial to be able to view previous responses to past meetings or current meetings being sourced by you or other planners within your organization from the suppliers. By having this capability you can see the range of rates from a property over certain time frames, size of room block, number of attendees, seasonality, etc.

2. Space Hold Requests - When you and other planners within your organization are holding space at hotels, it is extremely valuable to be able to see if a hotel is holding space for more than one meeting for your organization. This is helpful to ensure rate integrity and if another planner within your organization is in a first or second option position.

3. Counter Signed Contracts - Meeting Evolution has the ability to store the countersigned contracts for future reference. When you are negotiating with a hotel it is very important to be able to quickly determine if your organization has contracted business with a hotel previously. If your organization has, then you should be able to review the contract clauses, concessions, etc. to help you in your current negotiations with the same hotel.

4. Supplier Evaluations - After a meeting takes place, you should be documenting your experience about the meeting for future reference so that when you are reviewing what properties to select for future RFP's you can review past experiences at that hotel to help determine if the hotel should be included in future RFP searches.
